When the tax filing country you submit in Worksuite's Tax Information Form is United States, our system will validate both the Name and Tax Identification Number (TIN) -- whether Social Security Number (SSN) for an Individual or Employer Identification Number (EIN) for a Business -- against official IRS records.

Has my Tax Information in Worksuite been validated?

We enhanced the Tax Information Form with validation on December 16, 2025, on a go-forward basis.

How does my Tax Information impact the processing of my invoices as payments?

If your client subscribes to Worksuite's Global Pay service and we process your payments on their behalf, and if your tax filing country is United States, your Tax Information must be both completed and validated for your invoices to be payable.

What are the best practices for correctly entering my Tax Information?

For SSN, first select Individual and then enter your ID using the standard 9-digit format, including hyphens: XXX-XX-XXXX

For EIN, first select Business and then enter your ID using the standard 9-digit format, including hyphens: XX-XXXXXXX

I am encountering the error "TIN verification failed: the SSN/EIN you entered is not valid"

This error indicates a discrepancy between the data entered and the IRS records. Common causes include:

  • Recent EIN Issuance: If your EIN was issued within the last two weeks, it may not yet be recognized by the IRS External Verification Service. The IRS typically requires 14 days to enable new records for validation.
  • Name Mismatches: The IRS is highly specific regarding punctuation. For example, if your legal name is registered as "ABC LLC" but you enter "ABC, LLC" (with a comma), the validation will fail.
  • Entity Type Mismatch: Ensure you have selected "Individual" for SSNs and "Business" for EINs. Selecting the wrong category will cause an automatic rejection.

The form saved successfully, and then I received an email that the information is invalid.

Most of our validations occur in real-time, however this is dependent on the availability of IRS's validation service, and some validations occur asynchronously. Please resubmit your information accurately.
