Use content blocks to put instructions, a policy or a training video in front of your talent during onboarding. You add them to a Request data stage in a workflow, so the information arrives at the right step, and you can ask talent to confirm they've read or watched it before they move on.

There's no separate "content stage" type. Content blocks sit inside a Request data stage, alongside any questions you ask in that stage.

Who can do this: Teammates who can edit workflows.

Availability: Workflows are on for most accounts. If you don't see Workflows in the side menu, contact Worksuite Support to enable it.

TABLE OF CONTENTS

What you can add

Content blockWhat talent seeWhat you enter
HeadingA section title that splits the stage into partsThe heading text
ParagraphA block of text, such as instructions or a policy summaryThe text
VideoA video that plays on the pageA video link, such as a YouTube or Vimeo link
PDFA PDF that opens in a viewer on the pageA link to the PDF file

The PDF block takes a link, not an upload. Use a link that anyone can open without signing in, such as a public link to your freelancer handbook.

Add content to a stage

  1. In the side menu, go to Workflows → Workflows.
  2. Click Create new workflow, or click Edit on an existing workflow.
  3. Click Partner-facing stage and select Request data. The stage settings open.
  4. Enter a Stage name, for example "Welcome and handbook".
  5. Click Add content to this stage. The stage editor opens.
  6. Open the Content menu and select Heading, Paragraph, Video or PDF.
  7. Type the heading or paragraph text, or paste the video or PDF link into the new field.
  8. Repeat steps 6 and 7 for each block you want to add.
  9. Click Save & close. The stage settings now show how many items the stage contains.
  10. Click Save to close the stage settings, then click Save workflow.

Talent who reach this stage now see your content, together with any questions in the same stage.

Ask talent to confirm they've read or watched it

Content blocks don't ask for an answer, so a stage with only content doesn't record that anyone read it. To get a confirmation, add a required question to the same stage:

  1. In the workflow, open the stage's settings and click Edit next to its content.
  2. Open the Question menu and select Yes / No.
  3. Type the question, for example "I've watched the training video".
  4. Tick Mandatory.
  5. Click Save & close, then Save, then Save workflow.

Talent now have to answer the question before they can finish the stage. A Yes / No question records the answer they choose, so you can see who answered Yes.

What your talent see

Talent see the stage as a step in their onboarding. Headings and paragraphs show as text, videos play on the page, and PDFs open in a viewer on the page. After they answer any questions, they click Save changes (or Submit, depending on how the stage is set up) to finish the stage.

Check who has completed it

  1. Go to Workflows → Workflows and open the workflow.
  2. Check each person's status in the list, such as In progress or Stage completed.
  3. Select a person to see their answers, including any confirmation question.

To remind someone who hasn't finished, use Send reminder notification on their row.

Good to know

  • Information stages can also show headings, text and video links. They show details to talent and ask them to click a button to continue, without collecting answers. PDFs are only available in Request data stages.
  • If someone has already completed a stage, adding content to it doesn't reopen the stage for them.
  • Your workspace may use a different name for Partners, such as Freelancers or Talent, so the button may read Freelancer-facing stage instead of Partner-facing stage.
  • To set up the rest of the workflow, see Creating Workflows and The Workflow Editor 2.0: How to Get Started.

If a video or PDF doesn't show

Open the link in a private browser window. If it asks you to sign in, talent can't see it either, so share a public link instead. If the link opens there but still doesn't show in the stage, contact Worksuite Support with the workflow name and the link you used.
