Set up the Invoices list so the details you check every day are already on screen. Add columns such as Entity or Task managers, and filter by status, Team, Task manager or entity, so you don't have to open each invoice to find what you need.
Who can do this: Anyone who can see the Invoices list. You see only the invoices your role gives you access to.
Availability: Columns and the standard filters are available in every account that uses Worksuite invoices. Columns and filters for your Task custom fields are available on request: ask your Business Solutions Architect or Worksuite Support.
Your workspace may use different names for Invoices, Tasks, Teams or Entities.TABLE OF CONTENTS

Add, remove or reorder columns
The Status, Name and Partner columns always show. Entity, Task managers and Teams are off until you add them.
To change your columns:
- Go to Invoices → All Invoices.
- Click the settings (gear) button above the list. A panel opens with the columns you see now.
- To add a column, click Add column..., search for it, and select it.
- To remove a column, click the remove icon next to it.
- To change the order, drag a column by its handle to where you want it in the panel.
The list updates as you go. Your column choices are saved for you, so other team members keep their own layout.
Columns you can add include:
| Column | What it shows |
|---|---|
| Entity | The legal entity on the invoice. |
| Contract | The Contract the invoice belongs to. |
| Task | The Task the invoice belongs to. |
| Task managers | The Task managers on the invoice's Task, who approve it. |
| Teams | The Teams the invoice belongs to. |
| Due date, Created at, Approved at | The key dates for the invoice. |
| Created by | Who created the invoice: your freelancer or a team member. |
| Amount (excl. tax) | The amount before tax. |
| Attachment, Note | The file and note added to the invoice. |
Some columns show only in accounts that use the feature they belong to:
- Scheduled for and Payout Method, in accounts that use Worksuite Global Pay.
- Payout, in accounts that group invoices into payouts.
- Approver, in accounts where each invoice has its own approver.
- Your invoice custom fields, and Task custom fields if they've been turned on for your account.
Filter the list
Use the filters at the top of the Invoices list to narrow it down. Filters include:
- Status, for example New invoices waiting for approval.
- Team, Task manager and, in accounts that use it, Approver.
- Entity. This filter includes invoices filed under the entity's earlier names.
- Currency, Scheduled for and Payout Method.
- Your Task custom fields, if they've been turned on for your account and added as columns.
A filter only appears when there's something to choose between. For example, if your account has one entity, you won't see the Entity filter.
Filter by Task custom fields
When Task custom fields are turned on for your Invoices list, you can filter by Task custom fields of these types:
- Dropdown
- Multiple choice
- Teammate
- Yes / No
A Task custom field's filter appears only while that field is shown as a column. Add the field as a column first (see Add, remove or reorder columns), then use its filter. If you remove the column, its filter is cleared.
Other types, such as date fields, can't be used as filters. Show them as columns instead.
