When your client changes a live Contract, for example to extend the end date, update a PO number or change your fee, Worksuite may send you a change request. You check what changed and accept or reject it. A change that needs your acceptance applies only after you accept it.

Your client may use a different name for Contracts, such as Engagements. The steps are the same.

TABLE OF CONTENTS

How you'll know there's a change request

  • You get an email from Worksuite saying a change to your Contract is waiting for you.
  • In Worksuite, the Contract shows the status Change req. and a banner that says there is a change request.

Log in with the email address your Worksuite account is registered with. If you log in with a different address, you won't see the Contract or the change request.

Review and accept a change request

  1. Open the email and follow the link, or log in to Worksuite and go to Contracts → All Contracts.
  2. Open the Contract with the status Change req.
  3. Click Review changes in the banner. The Change History tab opens.
  4. Check the changes. Each changed field is marked Added, Changed or Removed, and shows the old and new values.
  5. Click Accept. If something is wrong, click Reject instead.

After you accept, the banner says "No pending Change Requests." and the Contract's status goes back to Live. The accepted change is listed under Change history with the date you accepted it.

If you don't see an Accept button

  • Someone at your client needs to accept first. Some clients review changes internally before they reach you. Until they finish, you'll see "This change request is being processed internally." You'll get an email when it's your turn.
  • You're logged in with a different email address. Log out and log in with the address your account is registered with.
  • An agency manages your work in Worksuite. The Contract is with your agency, so your agency accepts the change. Contact them.

If something in the change is wrong

Click Reject, then tell your client what needs to be corrected. Rejecting doesn't end your Contract. It keeps its current terms until your client sends a corrected change request for you to accept.

Good to know

  • Accept before your Contract's end date. If the Contract ends while a change request is still open, the change request is cancelled. This matters most for extensions.
  • Accept before you invoice for the change. If an invoice depends on the change, such as a different fee or a later end date, accept the change request first, then submit the invoice.
  • Not every change comes to you. Your client decides which changes need your acceptance. Changes that only affect their internal details don't show up for you.
  • Your signed agreement doesn't change. Accepted changes are recorded on the Contract and in its Change History tab. The agreement you signed earlier stays as it was. If you need a signed amendment, ask your client.

Still stuck?

Contact your client first if the change itself is wrong. For problems logging in or finding the change request, contact Worksuite Support with the Contract name and the email address you use to log in.
