If your client pays you through Worksuite's Global Pay service, your approved invoices may be grouped into a payout. This guide explains what a payout is, where to find your payouts, how to match a deposit in your bank account to the invoices it covers, and which emails to expect along the way.

TABLE OF CONTENTS

What is a payout?

A payout is a single bank transfer sent to you for one or more approved invoices. Instead of sending a separate transfer for every invoice, Worksuite groups all of the invoices that are ready to be paid in the same pay run, in the same currency, into one payout.

For example, if you have five approved invoices in the same pay run, you receive one deposit that covers all five, rather than five separate deposits. This means:

  • Fewer deposits to track and reconcile
  • Fewer bank fees, since some banks charge a fee on every incoming transfer
  • A simpler, more reliable payment

Note: Invoices are grouped into a payout only when they share the same currency and payout method. If some of your invoices are in a different currency, they are paid in a separate payout. Currencies are never combined into a single transfer.

Payouts are turned on client by client. If your client does not use payouts yet, your invoices are paid individually and you will not see the payout details described below.

Where to find your payouts

Each payout has its own Payout ID, a reference that starts with PAY (for example, PAY7MXRJCGCV), and a Payout Amount, which is the total of every invoice included in that payout. There are two ways to find them.

1. The Payouts page

Open Payouts from the menu on the left side of your dashboard. You will see a list of your payouts with their date, amount, Payout ID and status. Open any payout to see the invoices it includes.

2. From your invoices

In the Invoices/Payments module (the dollar sign icon on the left side of your dashboard), the Payout column shows the Payout ID for each invoice, with a dot showing the payout's status. The same information appears when you open an individual invoice. Click the Payout ID to open that payout's details. Invoices that share the same Payout ID were paid together in the same transfer.

Don't see the Payout column? Turn it on from the column settings of your Invoices/Payments table. You only need to do this once.

The payout details show the Payout Amount, the payout's status and every invoice included in it. From there you can also download a payout statement and request a proof of payment for the whole payout (see below).

Payments made before payouts were turned on for your client do not have a Payout ID and do not appear on the Payouts page. You can still find them on your invoices as before.

Matching a bank deposit to your invoices

When a payout lands in your bank account, you can confirm exactly which invoices it covers in two ways:

  • Open the payout. Find it on the Payouts page, or click the Payout ID on any of your invoices. The payout details list every invoice included in that transfer.
  • Download the payout statement. Once a payout is marked PAID, click Download statement in the payout details. The statement (PDF) shows the Payout Amount and the invoices included, plus a fee line if a fee applied to the payout.

The Payout Amount is the total Worksuite sent for that transfer, shown in your invoice currency. The amount that arrives in your account can differ for two reasons:

  • Your own bank may apply a fee on the incoming payment, so the amount that arrives can be slightly lower.
  • If your bank account is in a different currency from your invoices, the payment is converted before it reaches you. The deposit will be in your account's currency, so it will not match the Payout Amount exactly.

Payment emails

You receive one email for each stage of a payout, no matter how many invoices it includes. If five invoices are paid together, you get one email per stage instead of five.

Your payment is being prepared

Sent when your client starts the pay run.

Your payment is on its way!

Sent when the payment leaves, with the date it should arrive. If there is no confirmed arrival date, the email shows the general timing instead: about 1 business day for US accounts and 3 to 5 business days for accounts outside the US. Payments sent through Payoneer should arrive within minutes.

Your payment has been marked as paid

Sent once the payment is complete. It also explains how to request a proof of payment, and reminds you that transfers outside the US can take 2 to 3 extra days to arrive.

There was a problem with your payment

Sent if the payment could not be completed. It lists the invoices that were rejected and, when one was given, the reason. These invoices may need to be approved again.

Each email lists the invoices included in the payment (invoice number and title) and the Payout ID, so you always have one reference to share with your bank or with our Support team. The Review Payout button takes you straight to that payout. In the problem email, the button takes you to your invoices instead.

For your privacy, payment amounts are not included in these emails. You can see them in Worksuite.

If one invoice is taken out of a payout while the rest go ahead, you receive a separate email about that invoice, so you know which one was not included.

Payouts and invoice statuses

All invoices in the same payout move through the payment statuses together. When a payout is released, every invoice inside it updates to the same status at the same time (for example, they all move to IN FLIGHT, and later to PAID, as one).

For a full explanation of each status and who to contact at each stage, see Invoice Statuses in Worksuite.

Getting a proof of payment

If you need documentation that a payment was sent, you can request a Proof of Payment (POP) in two places:

  • For the whole payout: open the payout details and click Request proof of payment. One document covers every invoice in that transfer.
  • For a single invoice: open any paid invoice and click Request proof of payment.

Either way, you receive an email within a few minutes with the document attached when it is available. Because your invoices are paid together as a payout, the payment reference on your Proof of Payment corresponds to your payout, not to a single invoice. This is the same reference your bank sees on the incoming transfer, which makes it easy to line the two up.

Some payment methods, such as Payoneer, do not generate a proof of payment. For step by step instructions, see How to Request a Proof of Payment (POP).

For staffing suppliers

If you are a staffing supplier and your company receives the payment, everything above applies to you in the same way.

If your worker is paid directly into their own account, the worker receives the payout emails. You receive one informational email per stage about that worker's payment, and you can open the worker's payout from your account to follow its progress.
