Uploading files is a core part of working on Worksuite. Whether you're submitting work, sharing documents, or completing your profile, understanding how to upload files will keep your projects moving smoothly.

Where You Can Upload Files

Worksuite gives you multiple places to upload files depending on what you're working on:

  • Your Profile — Add a profile picture, portfolio samples, certifications, or other credentials
  • Onboarding Stages — Submit required documents during the client's onboarding process
  • Tasks — Upload deliverables, work samples, or supporting documents as you complete tasks
  • Documents Section — Store and organize files in your project's dedicated documents area for easy reference

Each upload area may have slightly different requirements, so always check the specific instructions for that section.

Supported File Types

Worksuite supports a wide range of file formats. The most common types include:

  • Documents: PDF, DOC, DOCX, TXT
  • Spreadsheets: XLS, XLSX, CSV
  • Images: JPG, JPEG, PNG, GIF
  • Videos: MP4, MOV, AVI (where applicable)
  • Archives: ZIP, RAR
Note: Some upload areas accept different file types. For example, profile pictures only accept image formats, while task uploads might accept documents and videos. Always check what's allowed in the specific area where you're uploading.

File Size Limits

File size limits help keep Worksuite running smoothly for everyone. Here's what you need to know:

  • General file limit: Individual files must be under 100 MB
  • Profile pictures: Under 10 MB
  • Bulk uploads: Total upload size cannot exceed 500 MB per session

If your file is too large, you'll see an error message. Consider compressing the file, splitting it into smaller pieces, or using a cloud storage service (like Google Drive or Dropbox) to share a link instead.

How to Upload a File

The upload process is similar across Worksuite, though the exact location varies depending on where you're uploading.

During Onboarding

  1. Navigate to the onboarding stage that requires a file upload.
  2. Look for an upload button or drag-and-drop area marked with an upload icon.
  3. Click the button or drag your file into the designated area.
  4. Select the file from your computer.
  5. Wait for the upload to complete — you'll see a progress indicator.
  6. Once finished, you'll see a confirmation message and the file name displayed.

Uploading to a Task

  1. Open the task you're working on.
  2. Scroll to the Deliverables or Attachments section.
  3. Click Add File or the upload icon.
  4. Select your file from your computer.
  5. Add an optional description or label for the file (helpful for clients reviewing your work).
  6. Click Upload and wait for confirmation.

Uploading to Your Profile

  1. Go to your profile page.
  2. Find the section where you want to upload (e.g., Profile Picture, Portfolio, or Certifications).
  3. Click the upload area or Choose File button.
  4. Select your file.
  5. Follow any cropping or formatting prompts (for images).
  6. Click Save or Confirm to finalize the upload.
Tip: For faster uploads, use a stable internet connection and avoid uploading multiple large files at the same time. Also, make sure your file names are descriptive — this helps you and your clients stay organized.

How to Replace or Update an Uploaded File

Need to swap out a file you've already uploaded? The process is straightforward.

  1. Navigate to where the file is stored (task, profile, documents section, etc.).
  2. Find the file you want to replace and look for a menu icon (three dots) or Edit option.
  3. Select Replace or Update File.
  4. Choose the new file from your computer.
  5. Click Confirm to complete the replacement.

The old file will be replaced with the new one, and clients will automatically see the updated version. If you need to keep a history of changes, consider adding a version number to your file names (e.g., "Design_v1.pdf" → "Design_v2.pdf").

Note: Once a file is replaced, the old version is no longer accessible through Worksuite. If you need to preserve previous versions, download them to your computer before replacing.

Troubleshooting Upload Failures

Uploads usually work smoothly, but occasionally you might run into an issue. Here's how to troubleshoot:

File Is Too Large

Error message: "File size exceeds the limit"

Solution: Check the file size limit for that upload area (usually 100 MB). If your file is larger, compress it using your operating system's built-in tools or third-party software. Alternatively, upload the file to cloud storage and share the link instead.

File Format Not Supported

Error message: "File type not allowed" or "Invalid file format"

Solution: Convert your file to a supported format. For example, if you have a .pages document, convert it to .pdf or .docx before uploading. Check the list of supported file types in the section above.

Upload Seems Stuck or Incomplete

Possible cause: Slow internet connection or browser issue.

Solution: Wait 30 seconds to see if the upload completes. If it doesn't, try refreshing the page. If the problem persists, try uploading from a different browser (Chrome, Firefox, Safari, or Edge). Avoid closing the browser tab during an upload.

File Uploads But Doesn't Appear

Possible cause: Browser cache or page not refreshed.

Solution: Refresh the page (press F5 or Cmd+R on Mac). If the file still doesn't appear, clear your browser cache and try again. If you continue to have issues, contact our Support team.
