Your timesheet is how your client sees and approves the hours you worked on a Task. This article explains how to log your hours, what each timesheet status means, and how to fix the problems that stop you from logging or changing hours, so your time gets approved and paid.

Your client's workspace may use a different name for Tasks, such as Assignments or Projects.

TABLE OF CONTENTS

How timesheets work

  • Each timesheet belongs to one Task. If you work on two Tasks in the same week, you have two timesheets that week.
  • Each timesheet covers one period. Most clients use a week. Some use two weeks or a month.
  • Periods exist only between the Task's start and end dates. There's no timesheet for days before the Task starts or after it ends.
  • Your client decides the format. You may enter total hours per day, start and end times, or parts of a day, such as a half day.
  • Not every Task uses timesheets. Fixed-price Tasks, for example, don't have one.

You'll find a Task's timesheet in the Timesheet section when you open the Task from Tasks & Projects. If your client uses time tracking, you'll also see Timesheets and Time Tracking under Tasks & Projects in the side menu.

Log your hours on a timesheet

  1. Go to Tasks & Projects and open the Task.
  2. In the Timesheet section, open the period you worked.
  3. Enter your hours for each day, in the format your client set up.

Your hours are saved on the timesheet, but your client doesn't see them as submitted until you submit the timesheet.

Track time with the timer

If your client uses time tracking, you can record your time as you work:

  1. In the side menu, go to Tasks & Projects → Time Tracking.
  2. In What are you working on?, select the Task.
  3. Click the play icon to start the timer.
  4. When you stop working, click the stop icon.

Each session is saved as a time entry with its start and end time, and it's added to that Task's timesheet.

To add time you didn't track with the timer:

  1. On the Time Tracking page, click Add time entry manually.
  2. Select the Task.
  3. Enter the start date and time, and the end date and time.
  4. (Optional) Add a Description of the work. Your client can see it.
  5. Click Confirm.

The entry appears in your list of time entries. To change or remove an entry, use Edit or Delete next to it. Your client may only let you edit entries for the current day.

Time entries fill in your timesheet, but they don't send it to your client. You still need to submit the timesheet.

Submit a timesheet

Important: After you submit, you can't add or change time for that period unless your client rejects it. Submit on or after the last day of the period, once all your hours are in.
  1. Open the Task and go to its Timesheet section, or open the timesheet from Tasks & Projects → Timesheets.
  2. Check your hours for the period.
  3. Click Submit.
  4. In the Submit timesheet? window, click Submit.

You'll see "You successfully submitted your Timesheet." and the status changes to Under review.

Timesheet statuses

StatusWhat it meansCan you change the hours?
UnsubmittedYou've started the timesheet but haven't sent it.Yes
Under reviewYou submitted it and your client is reviewing it.No
ApprovedYour client approved the hours.No
RejectedYour client sent it back to you. The reason shows under Rejection Reason.Yes. Edit it and submit again.

When you resubmit a rejected timesheet, its status changes back to Under review.

There's no timesheet for the week or month I worked

There are three common causes.

The dates are after the Task ended. No period appears after the Task's end date. Your hours aren't lost. Message your client from the Task and ask them to extend the Task's end date.

You don't have a Task yet. Finishing onboarding or adding your bank details doesn't create a timesheet. A timesheet appears only after your client assigns you a Task that uses timesheets. Ask your client to assign the Task.

The Task doesn't use timesheets. Some Tasks have a fixed price, or your client doesn't use timesheets. Ask your client how they want you to bill the work.

"Time entry is not in task start/end range."

You'll see this message, or days marked as outside the Task's date range, when the date you're logging falls outside the Task's start and end dates. It isn't a problem with your time-of-day settings.

  1. Message your client from the Task and ask them to extend the Task's dates.
  2. When they've changed the dates, log the hours again.

"Task can't be used" messages

MessageWhat it meansWhat to do
"Task can't be used - has non-editable status at the moment."The Task isn't active, for example because it's completed.Ask your client to reopen the Task or assign you another one.
"Task can't be used - timesheets are not available for this task."The Task doesn't use timesheets.Ask your client how to bill this work.
"Task can't be used - limit of hours for task reached."You've logged all the hours the Task allows.Ask your client to raise the hours on the Task.

I need to change a timesheet I already submitted

You can't withdraw or edit a timesheet once it's Under review. Your client needs to reject it first.

  1. Message your client from the Task. Say which timesheet period needs a change and why.
  2. When your client rejects it, the status changes to Rejected.
  3. Open the timesheet, correct your hours, and submit it again.

I forgot hours on an approved timesheet

Approved timesheets can't be edited, and there's no option to reopen one. To add hours, your client rejects the approved timesheet. Then you edit it and submit it again for approval.

If your client already created an invoice from that timesheet, rejecting the timesheet rejects the invoice too. Once that invoice is being paid or has been paid, the timesheet can't be rejected. Ask your client how they want to handle the missing hours.

My timesheet has been under review for a long time

Only your client can approve or reject your timesheet. Message your client from the Task to ask about it. If your timesheet was rejected, the reason your client gave shows under Rejection Reason.

The timer isn't recording my time

  • Check that you selected a Task in What are you working on? before you started the timer.
  • Make sure you click the stop icon when you finish. The entry is saved when the timer stops.
  • If entries are still missing, refresh the page or try another browser, then add the time with Add time entry manually.
