Whether you're starting a new project or formalizing a partnership with Worksuite, you'll likely need to sign an agreement or contract. This guide walks you through the process so you know exactly what to expect and how to get your contracts signed and live.


How You'll Be Notified About a New Agreement

When Worksuite creates a contract that needs your signature, you'll receive a notification letting you know it's ready. The notification will include details about the contract and what you need to do next.

You can then log into your Worksuite dashboard to view the contract details, terms, and conditions before signing. Take your time reviewing—understanding what you're agreeing to is important!

Note: Check your email inbox (and spam folder, just in case) for contract notifications. If you don't see a notification after a few hours, contact support.

How to Sign an Agreement (Dropbox Sign Method)

Most contracts are signed using Dropbox Sign (formerly HelloSign), a secure digital signature platform. Here's how to sign:

  1. Open the contract notification in your email or navigate to the contract in your Worksuite dashboard.
  2. Click the "Sign" button or the link provided in the notification. This opens the Dropbox Sign signing interface.
  3. Review the contract carefully. You can scroll through the full document to see all terms and conditions before committing your signature.
  4. Preview your signature (optional). Dropbox Sign will show you where you need to sign on the document.
  5. Add your signature by drawing it, typing it, or uploading an image of your signature—choose what works best for you.
  6. Confirm and submit. Once you're satisfied, click the submit button to send your signed agreement back to Worksuite.
  7. Download your copy. Dropbox Sign will give you the option to download and save a copy of your signed agreement for your records.

That's it! Once submitted, your contract moves through our approval process and will become active when all parties have signed and approved it.

Pro tip: Keep your signed agreements saved locally or in your preferred cloud storage. You'll want them for your records and accounting.

How to Accept a Contract (Acknowledge Method)

Some contracts use a simpler acceptance method instead of digital signatures. This typically applies to agreements that have already been signed and reviewed by your client, and just need your acknowledgment.

  1. Open the contract notification in your email or navigate to the contract in your Worksuite dashboard.
  2. Review the contract details and terms in Worksuite.
  3. Click the "Accept" button when you're ready to agree.
  4. Confirm your acceptance if prompted. Some contracts may require multiple signers to accept in a specific order.

Once you click Accept, your acknowledgment is recorded and the contract moves toward activation.

Note: If your contract requires multiple signers, they must accept in the order specified. You'll see a message if someone else needs to accept before you.

Downloading Your Signed Agreements

After you've signed or accepted a contract, you should always download and save a copy for your records. Here's how:

  1. Navigate to your contract in the Worksuite dashboard.
  2. Look for the "Download" button once the agreement is signed.
  3. Save the PDF to your computer, cloud storage, or filing system.

Keep these files organized by project or freelancer relationship. You may need them for accounting, tax purposes, or as reference if questions come up later.


Understanding Contract Statuses

As your contract moves through Worksuite, it will show different statuses. Here's what each one means:

  • Draft: The contract is being prepared by Worksuite. You haven't been notified yet.
  • Under Review: The contract is ready for internal review before being sent to you.
  • Signing: The contract is now with you (or other signers) waiting for signatures via Dropbox Sign.
  • Accepting: The contract is waiting for acceptance (the simple button-click method) from you or other parties.
  • Scheduled: All signatures/acceptances are complete. The contract is scheduled to go live on a specific date.
  • Live: The contract is now active and in effect. Your project work and payments are governed by this agreement.
  • Ended: The contract term has concluded.

If a contract changes while it's live: Any modifications to a live contract require a formal Change Request. You'll receive notification if this happens, and the process works similarly to initial signing or acceptance.

Contracts can also have other statuses like Rejected or Canceled if something doesn't go as planned. If you see an unexpected status, reach out to support.

Troubleshooting: Agreement Won't Load or Sign

The contract won't open or load:

  • Refresh your browser and try again.
  • Try a different browser (Chrome, Safari, Firefox) or clear your browser cache.
  • Make sure you have a stable internet connection.
  • Disable any browser extensions that might block content (like ad blockers).

The Dropbox Sign interface isn't working:

  • Ensure you've allowed pop-ups from Worksuite in your browser settings.
  • Try signing in on a different device to rule out local issues.
  • Check that your Dropbox Sign connection is active (sometimes it requires re-authentication).

You can't find the Accept button:

  • Scroll down on the contract page—it may be below the contract preview.
  • Check if other signers need to accept first (the button will be disabled until their action is complete).
