Historically, Worksuite creates payments from your Scheduled invoices with a two-day grace period to support those payments with your funding.
To improve the speed, reliability, and predictability of payments to your contractors, we are transitioning to only processing invoices supported by funds in your pay run funding account.
This update reduces delays and ensures cleaner, more consistent pay runs, benefiting both your team and your contractors.
What’s Changing?
You will continue to schedule invoices for upcoming pay runs as usual. When the pay run starts, only invoices supported by available funds in your pay run funding account will be processed, from the smallest amounts up to the available balance.
If there aren’t enough funds in your account balance to process all Scheduled invoices:
- Any remaining invoices will stay in Scheduled status and will not be processed until you reschedule them for a future pay run.
- Unprocessed invoices will display a flag that says, “This Invoice needs to be rescheduled due to lack of funding.”
Email Notifications
To help you stay ahead of funding needs, Admin users on your account will receive automated email reminders:
- 3, 2, and 1 days before each pay run if your account balance is insufficient
- A post-pay run follow-up if some invoices weren’t processed due to lack of funds
Notifications go to all Admin users. If any team members don’t need these messages, they may mute or filter them, or you can update their role to Regular User.
Monitoring Funding Balance and Scheduled Invoices
You can monitor your funding account balance and pay run readiness directly in the Invoices module:
- A banner will display your current funding account balance in real time, as well as the difference between available funds and the amount required to fund all currently Scheduled invoices.
- You can also generate a Funding Statement to view:
- The pay run funding account details
- Its current balance
- Which invoices are scheduled
- How much funding is required

How to Monitor Pay Run Status
- When all Scheduled invoices are successfully processed with sufficient funding, there will be no separate email confirmation
- Use the Invoices module to confirm statuses as needed
