How to Configure Your Contracts for E-Signature
Note that a limitation of the UI is not being able to update an agreement after you configure it. If it's an agreement that needs constant update, you can send it to [email protected] to configure it from the backend.
Follow these simple steps to configure your contracts for e-signature within Worksuite:
- Navigate to Settings: Log in to your Worksuite environment and go to the Settings section.
- Access Agreements: In the Settings menu, select "Agreements" and click on "Add Template."
- Choose Agreement Type: Select the appropriate agreement type from the available options.
- Upload Agreement Template: Provide an Agreement Name, upload the relevant agreement file, and choose any necessary Merge Fields from the dropdown menu (e.g., First Name, Last Name, Address).
- Set Up Agreement: Click the "Setup Agreement" button to proceed.
- Customize Fields: Use the drag-and-drop functionality to add Signature Fields and Merge Fields as required.
- Save and Send: Once you have configured the agreement template, it is ready to be sent for e-signature.
Note there are certain fields you can't map from your side: Custom Job Opening and Custom Task fields. If you have an agreement that requires such fields, please send us an email through our Support Widget or at [email protected] to configure the agreement from our side.
How to Include Agreements in Onboarding Workflows:
To incorporate the Agreement Template into your onboarding workflows, follow these steps:
- Access Onboarding Module: Within your Worksuite environment, navigate to the "Onboarding" module.
- Edit Workflow: Find the workflow you want to modify or create a new one.
- Click on the three dots on the right side and select "Edit Workflow."
- Add Stage: Within the workflow editor, add a new stage and choose "Sign agreement" from the dropdown menu.
- Select Agreement Template: Choose the Agreement Template you configured earlier from the available options.
- Save Changes: Once you've made the necessary selections, save the changes to update your automated workflow with the latest and compliant contract.
Important: note that adding a New Template Agreement to a Workflow will trigger the agreement to be sent to everyone. If you don't want this please duplicate the worflow and add the new template there. You would start using the new duplicated workflow instead of the previous version.
