Streamlining Task Management with Milestones and Deliverables in Worksuite

The Milestones feature in tasks gives you the flexibility to define different completion milestone(s), approve progress, and even schedule payments based on your project budget.

Introduction to milestones

Milestones are added while creating or editing a task. If you choose to add a task milestone, you can add the specific details your talent needs to understand exactly what is required and when.

Milestones are great for larger tasks or tasks that require staged deliverables - you can give each milestone a share of the task fee (a percentage of the task budget) or create mandatory deliverables for your talent to submit as they progress.

Milestone fields

When creating the milestone(s), you will be asked to provide the following information:

  • Name (mandatory) - A clear title for the milestone.
  • Description (optional) - Detailed information outlining the milestone's objectives.
  • Milestone managers (optional) - The teammates responsible for overseeing the milestone.
  • Deliverables (optional) - Specific outputs or results expected upon milestone completion.
  • Milestone fee (required, defaults to 0%) - The percentage of the total task budget allocated to this milestone, facilitating proportional payment processing.

Creating milestones

  1. Initiate a New Task: Begin by creating a new task within Worksuite.
  2. Add Budget Information (optional): Input the total budget for the task, if applicable.
  3. Add a Milestone: Click Add milestone.
  4. Define Milestone Details: Input the necessary information for each milestone as outlined above.
  5. Specify Deliverables (optional): List any specific outputs expected for the milestone. To add deliverables, click Add deliverables or Load from template.
  6. Create Milestone: Click Create milestone to finalize the milestone setup.
  7. Add Additional Milestones (if needed): Repeat the process to add more milestones.
  8. Complete Task Details: Fill in any remaining information pertinent to the task.

Milestone status

  • Not completed (default) - This is a default status when a milestone is created
  • Submitted - Once the talent submits the milestone the status changes to Submitted
  • Approved - Once a task manager or milestone manager approves the milestone submitted by talent
  • Rejected - Once a task manager or milestone manager rejects the milestone submitted by talent
  • Paid - The milestone's invoice has been paid.

Milestone payments

Upon approval of a milestone, task managers and milestone managers have the option to generate an invoice corresponding to the milestone's allocated fee percentage. In the Approve milestone window, select Generate Invoice. Use the task-budget percentage or enter a Payment amount, choose a Category and Tax, and optionally tick Mark this Invoice as approved. This streamlined process enhances efficiency by reducing manual administrative tasks and ensuring timely compensation.

Talent view

Assigned talent can view detailed milestone information within their task assignments. As they progress, they can submit the required deliverables and mark the milestone as submitted. The task managers and milestone managers get an email when it's submitted, prompting them to review and approve or reject the milestone accordingly.
